iovox Limited ("iovox", "we", "us", "our") is committed to transparent privacy practices. iovox has never sold, nor will it sell, any personal information shared with us.

When you use iovox Services, we typically function as a data processor under GDPR. However, iovox acts as a data controller in relation to our billing relationship with customers and any marketing communications based on your consent.

What personal data we collect

We collect the following categories of personal data:

  • Identity Data: Names, usernames, titles.
  • Contact Data: Billing addresses, email addresses, phone numbers.
  • Financial Data: Bank and credit card information used for invoicing.
  • Transaction Data: Invoice records and payment history.
  • Marketing and Communications Data: Your preferences for receiving marketing communications from us.
  • Behavioural Data: Inferred information about your interests based on online activity, organised into demographic segments.
  • Technical Data: IP addresses, login credentials, browser information, operating systems and device details.
  • Voice Data: Voice captured from call recordings where the recording feature is enabled.

We also use aggregated, non-identifying statistical data. We do not collect special category data (race, ethnicity, religious beliefs, sexual orientation, political opinions, health information, genetic, or biometric data) or criminal records information. We do not obtain personal data from third-party sources.

How we use your personal data

We use personal data only for the purposes for which it was collected, or compatible new purposes. The legal bases for our processing are:

We may de-identify or anonymise personal data for AI and machine learning development. Once anonymised, that data no longer qualifies as personal data under GDPR or CCPA.

Who we share your personal data with

We do not sell your personal data. We may share data with:

  • Professional advisers (lawyers, bankers, auditors) — within Europe.
  • Service providers (IT, software, system administration) — worldwide, under data processing agreements.
  • Regulators and authorities: within Europe, where required by law.

Data transfers outside the European Economic Area follow GDPR safeguards through European Commission adequacy decisions, EU-approved Standard Contractual Clauses, or intragroup data transfer agreements with Model Clauses.

Google Analytics

We share information with Google Analytics to understand how our Services are used, including through Demographics and Interests Reporting and Remarketing features. Artificial intelligence

Our AI products provide insights, predictive analytics and automation using machine learning and natural language processing. All personal information processing follows this Privacy Policy and applicable third-party agreements. You may opt out of AI processing by contacting privacy@iovox.com.

How we keep your personal data secure

We implement appropriate security measures to prevent accidental loss, unauthorised access, alteration, or disclosure of your data. Access is restricted to employees with a legitimate business need, and all staff are bound by confidentiality duties. Breach procedures include notifying affected parties and working with applicable regulators as required by law.

All information is stored on secure servers. Payment transactions are encrypted. You are responsible for keeping your password confidential.

Your rights

Under UK GDPR and EU GDPR you have the right to:

  • Request access to the personal data we hold about you.
  • Request correction of incomplete or inaccurate information.
  • Request erasure where there is no legitimate reason for us to continue processing.
  • Object to processing based on legitimate interest or for direct marketing.

No fee typically applies, though we reserve the right to charge for manifestly unfounded or excessive requests. Complaints that remain unresolved can be escalated to the UK Information Commissioner's Office.

Marketing communications

We will never sell or rent your contact information to third parties (except as part of a sale of the business). You can opt out of marketing at any time by following the unsubscribe link in any communication. Opting out will not prevent service-related communications about changes to your account or technical support.

How long we keep your data

  • Identity, Contact, Financial, Transaction, Behavioural, and Technical Data: Retained as long as necessary for the purposes described, including ongoing customer interactions.
  • Marketing and Communications Data: Retained while you remain an active customer or continue to opt in.
  • Voice Data: Retained as long as necessary for the stated service purposes.

Children

This site is not intended for users under 16 and we do not knowingly collect personal data from children.

Any future changes will be posted on this page and communicated by email where appropriate. We encourage you to check this page periodically.
